Technical Administrative Assistant
The Technical Administrative Assistants’ primary function is to ensure that the tech team, as a whole, thrives in all capacities. This role is pivotal in supporting our tech team by managing documentation, scheduling appointments, overseeing task management, and ensuring rigorous follow-up on team tasks. This role requires a unique blend of administrative efficiency and technical acumen to enhance the team’s productivity and operational effectiveness.
Job Duties
- Documentation Management: Maintain, organize, and update technical documents, including but not limited to, project plans, technical guides, and standard operating procedures (SOPs). Hardware-software Inventory Management, IT Policy updating/review, and Updating all Tech Documentation according to ISO Requirements. Ensure all documents are current, accurately cataloged, and accessible to the team.
- Appointment Scheduling: Coordinate schedules and manage appointments for the tech team. This includes organizing meetings, setting up reminders, and facilitating the logistics for webinars, conferences, and other tech-related events.
- Task Management and Follow-Up (FUP): Monitor task assignments using project management tools to track progress and deadlines. Execute diligent follow-ups to ensure tasks are completed on schedule and promptly address any delays.
- Team Support and Coordination: Coordinate team activities, including onboarding new team members, managing team resources, and serving as the point of contact for internal and external communications related to tech department operations.
- Technical Support: Provide basic technical support and troubleshooting assistance when necessary, aiding in the smooth operation of the team’s technical infrastructure.
- Meeting Facilitation: Prepare and distribute meeting agendas, take detailed minutes during meetings, and follow up on action items to ensure accountability and progress.
Qualifications
- Education: Associate’s or bachelor’s degree in Business Administration, Information Technology, or a related field preferred.
- Experience: Minimum of 2 years of helpdesk experience within a tech department or similar technical environment. Familiarity with tech industry standards and practices is highly desirable.
- Technical Skills: Proficiency in office productivity tools (e.g., MS Office, Google Suite), project management software (e.g., Insightly, Trello, Asana), and a basic understanding of technical terminology and concepts. Experience with documentation management systems is a plus. Experience with documentation management systems such as Updating all Tech Documentation according to ISO Requirements, Hardware-software Inventory Management and IT Policy updating/review.
- Organizational Skills: Exceptional organizational and time-management skills, with a proven ability to handle multiple tasks and deadlines in a fast-paced technical environment.
- Communication Skills: Excellent written and verbal communication skills, with an ability to convey technical information effectively to both technical and non-technical stakeholders.
- Problem-Solving: Strong problem-solving skills and the ability to work independently and collaboratively as part of a team.

Working Hours:
- Our USA business hours include MANDATORY overlap (8:00 am to 5:00 noon Arizona time) Our business hours for operations in the USA are from 8:00 am to 5:00 pm Mountain Standard Time (MST) in Arizona. Your specific or flexible duty hours will be discussed with your Head of Department (HOD).
- Hours for some departments may be fixed or may vary depending on the tasks/projects involved.
- Billable teams ( Bookkeepers, Tax preparers, Customer care, and admins ) expect to work at least 50 hours per week during tax season, and weekends could be required.
- We need someone available for on-call emergencies (outside of normal working hours. Only when needed).
