Position Overview:

We are seeking a highly skilled and experienced Project Manager for Core Operations to exclusively oversee and manage the projects of our department heads. This critical role will focus on ensuring that departmental projects are efficiently planned, executed, and delivered while fostering collaboration and communication between departments. If you are a seasoned project management professional with a passion for driving excellence, this opportunity is for you.

Responsibilities:

  • Collaborate with the Core Operations team members to understand their project needs, objectives, and timelines.
  • Develop and maintain project plans for each departmental project, outlining key milestones, resource requirements, and budgets.
  • Act as the central point of contact for the Core Ops team and, if necessary, other department heads, facilitating project initiation, progress updates, and issue resolution.
  • Monitor and track project progress, ensuring that projects stay on schedule and within budget.
  • Identify and mitigate project risks and issues proactively and effectively.
  • Coordinate and lead regular project status meetings with respective department heads to discuss project status, issues, and action items.
  • Foster cross-departmental collaboration by ensuring that projects align with the firm’s overall strategic objectives.
  • Provide regular reports and updates on the status of departmental projects to senior leadership.
  • Act as a mentor and advisor to department heads in project management best practices.
  • Oversee project documentation, ensuring that all project-related documents and deliverables are appropriately stored and organized.
  • Collaborate with department heads to define project success criteria and conduct post-project evaluations.
  • Ensure that respective department heads adhere to project management best practices and methodologies.
  • Collaborate with external stakeholders and vendors as needed to support project execution.
  • Lead the continuous improvement of project management processes and standards.
  • Stay current on industry trends and project management tools to enhance project delivery.
  • The pivotal part of this role is to ensure that the “Project Manager for Core Ops” thrives for the team and the CEO.

Qualifications:

  • Bachelor’s degree in Business, Project Management, or a related field; PMP or PRINCE2 certification is a plus.
  • Proven experience of 5+ years in project management roles, with a track record of successfully managing multiple projects.
  • Familiarity with project management software and tools.
  • Excellent communication and interpersonal skills, especially in remote work environments.
  • Strong leadership skills and the ability to influence and guide department heads.
  • Proven ability to manage project teams, set priorities, and meet project deadlines.
  • Exceptional problem-solving and decision-making abilities.
  • Strong organizational and time management skills.
  • A passion for driving excellence and efficiency in project execution.
  • Self-motivated, disciplined, and comfortable working in a fully remote capacity.
  • Adept at fostering collaboration and communication among department heads.
  • Experience in the financial or accounting industry is a plus.

Working Hours: 

  • Our USA business hours include MANDATORY overlap (8:00 am to 12:00 noon Arizona time) Our business hours for operations in the USA are from 8:00 am to 5:00 pm Mountain Standard Time (MST) in Arizona. Your specific or flexible duty hours will be discussed with your Head of Department (HOD).
  • Hours for some departments may be fixed or may vary depending on the tasks/projects involved.
  • Billable teams ( Bookkeepers, Tax preparers, Customer care, and admins ) expect to work more than 40 hours during tax season, and weekends could be required. 
  • We need someone available for on-call emergencies (outside of normal working hours. Only when needed).
