Position Overview:

We are seeking a detail-oriented and organized Project Management Administrator to join our team. The ideal candidate will be responsible for supporting project managers and teams in various administrative tasks, ensuring smooth project operations, and facilitating communication between stakeholders. This role requires strong organizational skills, the ability to multitask, and excellent communication abilities.

Responsibilities:

  • Assist project managers and teams with administrative tasks such as document management, scheduling meetings, and organizing project-related materials.
  • Facilitate communication between project teams, clients, vendors, and other stakeholders.
  • Prepare and distribute project-related documentation, including meeting agendas, minutes, and status reports.
  • Maintain project management tools and databases, ensuring accurate and up-to-date information.
  • Track project timelines and deliverables, alerting project managers to any potential issues or delays.
  • Assist with project budget management, including tracking Budgets.
  • Provide general administrative support to the project management team, including filing, data entry, and scheduling.
  • Collaborate with other administrative staff to ensure efficient office operations.
  • Administrative duties to assist other departments in the firm when needed
  • Coordinate with our overseas and local teams on various projects
  • Document management
  • Slack Channel management/coordination with other teams
  • Working with clients (USA) to assist them with their needs
  • Ready to Skype/zoom on call, work through issues with staff & clients, assist & train, film
  • video for training modules, etc ( Only if needed ).
  • Manage data in spreadsheets and reports
  • Keep records and reports up to date
  • Organize and schedule meetings and events when needed

Requirements:

  • Bachelor’s degree in business administration, project management, or a related field preferred.
  • Proven experience in an administrative role, preferably in a project management or similar environment. 3 years of proven experience in the same capacity on a remote setting. 
  • Minimum of 1 year of experience with a CPA, CA firm, medical billing, law firm, collections, and insurance or any financial organization ( A Must )

  • Familiarity with current technologies, like desktop sharing, cloud services and VoIP
  • Experience with word-processing software and spreadsheets (e.g. MS Office)
  • Strong organizational and multitasking abilities, with keen attention to detail.
  • Excellent communication and interpersonal skills, with the ability to interact effectively with stakeholders at all levels.
  • Ability to work independently and prioritize tasks in a fast-paced environment.
  • Knowledge of online calendars and scheduling (e.g. Google Calendar)
  • Excellent phone, email, and instant messaging communication skills
  • Excellent time management skills
  • Solid organizational skills

  • Operating System: Windows 10/11 Pro. If you have genuine Windows 11 Home, the company will assist with upgrading to Windows 11 Pro.
  • Audio: A good quality headset preferably equipped with noise cancellation
  • Video: A laptop/PC with webcam or a good-quality webcam

Working Hours: 

  • Our USA business hours include MANDATORY overlap (8:00 am to 12:00 noon Arizona time)

  • Billable teams ( Bookkeepers, Tax preparers, Customer care, and admins ) expect to work at least 50 hours per week during tax season, and weekends could be required. 
  • We need someone who is available for on-call emergencies (outside of normal working hours. Only when needed).
