The Opportunity:
We’re looking for a highly motivated and adaptable Executive Assistant to join our dynamic team. As a Mercenary EA, you’ll wear many hats, providing exceptional support to various departments and tackling a wide range of projects. No two days will be the same, and you’ll have the opportunity to learn new skills and contribute to diverse initiatives across the organization.
Responsibilities:
- Project Management: Assist with project execution from start to finish, including task prioritization, resource allocation, communication with stakeholders, and ensuring deadlines are met.
- Communication & Follow-up: Be a master communicator, both written and verbal, ensuring clear and concise communication with internal and external contacts. Proactively follow up on tasks and requests.
- Problem-Solving & Initiative: Anticipate needs and proactively solve problems. Take initiative to identify and implement efficient processes.
- Research & Analysis: Conduct thorough research, gather information, and prepare reports as needed to support various projects and initiatives.
- Adaptability & Flexibility: Be comfortable working in a fast-paced environment with ever-changing priorities. Adapt to new tasks and projects quickly and efficiently.
- Teamwork & Collaboration: Collaborate effectively with various departments and team members to achieve common goals.
- Administrative Support: Provide general administrative support, including expense management, document creation and editing, and inbox management.
- Calendar Management: Manage the CEO’s and/or executives’ schedules, including scheduling appointments, coordinating travel arrangements, and ensuring smooth meeting logistics.

Working Hours:
- For this role our USA business hours include MANDATORY overlap ( 7:00 am to 12:00 noon Arizona time). The rest of the remaining hours can be flexible.
- expect to work at least 50 hours per week during tax season, and weekends could be required.
- We need someone who is available for on-call emergencies (outside of normal working hours. Only when needed).
