Job Summary:

Assistant to the owner needed for a firm that has team members all over the world.

Responsibilities:

  • Handle emails (need to learn, reply, and leave inbox with ONLY what they cannot handle)
  • Manage personal needs (scheduling, family, organization of vendors, etc.)
  • Customer service
  • Assist in research (for the firm, for owner, for our team)
  • Coordinate with our team to ensure things are “done” as needed (events, tasks, projects, etc.)
  • They are point of contact for communications (emails to start, maybe more later)
  • Preparing agendas, taking meeting notes, transcriptions, etc.
  • Fixing everything (solve all problems great & small)
  • Assist with office moral / growth / improvement – bring ideas & implement them with the help of the team
  • Fill in for owner in low-value meetings (vendors, etc.), vendors, prospects – be the person everyone wants to hear from

Requirements:

  • Can work on 7am-7pm or 9am-7pm (Arizona time)
  • MINIMUM 7 YEARS EXPERIENCE: (USA) CEO assistant experience
  • Preferred if worked for at least 3 previous employers in this role – “A” type personalities
  • Fluent communication skills both written and verbal
  • Gatekeeper to owners time, schedule
  • Confident
  • HIGH detail
  • VERY punctual
  • Obsessive re: how “we” look to outside parties (the company and the owner) to the point – direct, succinct
  • Problem solver – ALWAYS have an option / solution
  • Thinks ahead (see problems coming down the road and points them out)
  • NOT a yes man – brings up issues for discussion
  • Self-starter
  • Great FUP skills, attentive to the needs of our customers
  • Ability to exercise good judgement / common sense & make the decisions they are authorized to protect the firm and owner as first priority
  • Creating win-win solutions for clients, the firm, me, etc.

  • GREAT rapport with clients, vendors, prospects – be the person everyone wants to hear from

System requirements :

  • Internet Speed: At least 10mbps
  • Device: Laptop or desktop, Core i5 (8th generation minimum) or i7 (8th generation minimum) running Windows OS
  • Memory: A minimum of 16GB RAM
  • Storage: Minimum 256GB SSD or 500GB HDD
  • Operating System: Genuine Windows (Preferably Pro).
  • Audio: A good quality headset preferably equipped with noise cancellation
  • Video: A laptop/PC with webcam or a good-quality webcam

Working Hours: 

  • Our USA business hours includes MANDATORY overlap (8:00 am to 05:00 pm Arizona time)

  • Billable teams ( Bookkeepers, Tax preparers, Customer care, and admins ) expect to work at least 50 hours per week during tax season, and weekends could be required. 
  • We need someone who is available for on-call emergencies (outside of normal working hours. Only when needed).
